Workflow automation for small businesses

Stop copying the same information between places. Start with one process your staff can explain and approve.

I scope and build small-business workflow automations in Lakeland and Central Florida. A separately scoped implementation costs $1,250 to $3,000, depending on complexity. Confirm the written scope and price before work begins.

Train my team or build a workflow?

Train my team when people need to use AI and check its work. Build a workflow when you need a defined process implemented. AI Lab and other training packages do not include building, deploying or managing a system.

The assessment is $750. AI Lab Focused is $1,250, Expanded is $5,000, and enterprise training starts at $15,000. See training and advisory pricing.

Define the process before the build

Approved inputs

Agree which forms, documents or records the workflow may use, who owns them, and what data must stay out. Use synthetic or approved test records during the build. Do not send confidential records with an initial inquiry.

Integration scope

Name the source, destination, fields, matching rules and allowed actions. Document collection, order-status transfer, and invoice or receipt matching are possible scoping conversations, not claims of completed customer integrations. Confirm connector access, account requirements and technical fit before promising a connection.

Exceptions and staff approvals

Decide what happens when a document is missing, a match is uncertain, or a service is unavailable. Name the staff member who can correct or approve the result. Agree which actions require human approval before anything is sent, changed or paid.

Acceptance tests

Write expected results together before implementation. Test an ordinary case, missing information, duplicate records, a failed connection and an approval that is declined. Agree how failures are reported and how staff stop or recover the workflow. Accept the work against those agreed tests.

Handover

Agree who will own and operate the workflow. Include the setup notes, staff guide, test results, known limits and staff walkthrough in the written scope. Agree who handles later changes and support.

Keep the boundaries clear

The workflow range covers a bounded implementation, subject to discovery. It is not a standard price for an app or website. Software licenses, paid services, new integrations, ongoing management and later changes require separate written agreement. No savings figure or delivery date is promised here.

See the existing AI Lab training example if your next step is learning to check AI output.

Tell me where the work gets stuck

Describe the process, the tools already approved, and where a person must approve the result. Start with the process, not private files.
